The Company



Our client is a multinational company, with businesses in shipping, marketing, investment and beverages. With their various successful business lines, they have developed a strong reputation in Hong Kong and enjoy close ties with their sister companies overseas. This role will be a Personal Assistant role to the Managing Director, British Male, and will be responsible or travel arrangements, personal matters, and other adhoc administration tasks. Their office is located in Causeway Bay, Hong Kong.




The Role



Your fit within the role will be dependent on your proven experience in Administration and Office Support with key responsibilities including:




  • Responsible for providing executive secretarial support to the Managing Director of Beverage

  • Preparing meeting agendas, coordinating meeting participants (internal and external), and managing meeting reminder as needed. Follow up with meeting minutes where appropriate

  • Assist preparation of presentation materials

  • Meet and greet clients and visitors

  • Consolidate different business analysis, reports and results from respective teams across regions in a timely and accurate manner

  • Maintain coordination among GMs across Greater China offices

  • Monitor projects to ensure timelines are met

  • Assist in preparation of presentations, reports, internal and external communications

  • Undertaking project support as required by the business

  • Supervise and train Administration Assistant to provide daily administrative support to the whole Beverage

  • Estimate, forecast and plan annual budget for Company's admin expenses

  • Develop and review administration policies and procedures, assist to plan and monitor administrative workflow to ensure cost effective operations

  • Check and approve the monthly expenses reimbursements

  • Ensure operation of office equipment, order maintenance when necessary

  • Plan and organize staff activities and company events

  • Other ad-hoc duties as assigned from Line Manager from time to time





Requirements



  • Bachelors degree or higher

  • Proficiency with Microsoft Office Suite

  • Fluent in English and Mandarin Chinese, and ability to type Chinese

  • Ability to be resourceful and proactive when issues arise

  • Multitasking and time-management skills, with the ability to prioritize tasks

  • Excellent organizational skills

  • Professional attitude and appearance

  • Excellent interpersonal and communication skills (both written and verbal)
